We feel the most important thing you do beside generating your data is backing it up. Your backup strategy is a very critical portion of your business strategy. After all, there are as many ways to back up your data as there are ways to generate the data in the first place. A good backup strategy will serve you in the event of any of the following types of disasters.
Disaster Recovery
The most obvious reason to have a good backup is to ensure you have the possibility of recovering from a true disaster. Fires, floods, and hurricanes can change your life...and ruin your business.
Your backup strategy MUST include a provision for having a complete copy of your patient data offsite at all times. ALL times. And it's not enough to just have a copy...it should also be secure. HIPAA compliance dictates that all health information be kept private. Turnkey Backup is the best way to ensure that 1) you have all of your patient data, up to the day, offsite at any given time and 2) that it's secure. Only you have the ability to access the backed-up data, so it's safe from the outside world.
Accidental Loss
Your assigned your office manager to install the new (pick one) Dentrix or Eaglesoft update. She did, and thinking there was a good backup...after all, she changed the tape last night...she proceeded to install the update. Only, halfway through the process, a cryptic error message popped up, and the upgrade halted. After an hour on the phone with support, they recommend that you restore your backup...and your palms start sweating. Now is the moment of truth....does this tape thing work or not?
Accidental loss is the most common type of loss. And it can happen a number of ways: maybe the upgrade fails, maybe a patient throws a tennis ball at the computer and it lands on the DELETE key while your office manager has Windows Explorer up and your database file highlited! Maybe you were checking your email on the server computer, and opened up and attachment that targeted your database files. Who knows...if you can dream up a silly scenario, it has probably happened somewhere.
The key to a successful backup strategy in terms of recovery from accidental loss is the speed of recovery. And nothing is faster than copying a fileset back in from across the network. When copying back from across the network, even very large files can be restored very quickly.
Embezzlement Protection
Nobody likes to talk about a good backup strategy and it's effect on embezzlement. Such a dirty word, with such dirty implications. In an embezzlement situation, a trusted person betrays you in the worst way. Want to know what the most common Trojan Horse is? Having a limited amount of backup sets.
When you do backups the old way and use a 5-tape rotation, whoever is going to cheat you knows that you have only 5 copies of your data. If they are going to record bogus transactions, delete receipts, or whatever, they know they only have to cook the books 5 times. Then they are home free.
But when you keep, say, 100 backups, you have protection against that. Nothing will discourage would-be embezzlers more than knowing that there are multiple full records kept offsite of all data as it existed on the day it was backed up.
Price Structure
Pricing for Turnkey Backup Services is determined by the amount of storage spaced occupied by the customer on our backup servers. For accuracy's sake, storage space is measured in bytes. All pricing is based on the number of bytes stored.
For the simplicity of the following table, the pricing we give is in terms of megabytes, since that's the term that most people are familiar with. Each night, after your backup, you will be emailed a listing of exactly how many bytes of data you are storing, and what percentage of your quota you are at. That way, you will always know as much as possible about your own service consumption.
